Guidelines for use of email

All people employed at Ridgway School will be provided with a Ridgway e-mail address which is to be used for email communication related to their role in the school or school business.

Signature

All holders of Ridgway email addresses should follow these guidelines for their email signature:

Full name with title if desired

Position This may include more than one role, e.g. Deputy Principal, SENCO

Whānau for classroom teachers


Font styles

Guidelines for weekly email to families

Purpose: Communicate with families about what has been going on in their son/ daughter's classroom. The guidelines are to support consistency across the school.

Communication needs to be so clear that parents do not need to ring the office for clarification.



  • Every classroom teacher sends a weekly email on the last day of each week.

  • On the last week of the school term, indicate to your families that this is the last email of the term and the next email will arrive the Friday before the next term starts.


What will  my class email look like?

Subject line: What’s happening in Rm 1: T1: WK2


Start email with:

  1. Maori greeting

  2. reflection on the week

  3. thank yous and celebrations.


Middle chunk:

  1. Itemise with headings for key messages. (This part is not a letter)

  2. Informative information.  

  3. 1 line space in between items. eg.

Swimming

All students to bring togs in a plastic bag on Wednesday.


Finish with:

  1. Positive weekend note

  2. Maori farewell. eg. Nga mihi,


After the sign off include upcoming event dates
